JOB DETAIL


Responsibilities

1. Daily Document control and management, that is Control over documentation preparation, modification, revision, distribution, issuance (as per procedure), and maintenance of documents throughout their lifecycle.
2. Assisting multi-disciplinary teams in capturing the information and data required for the operations and formatting documents in accordance with agreed templates and keep checking templates for future use.
3. Reviewing, updating, and modification of technical documents (for example Internal & External manuals).
4. Maintaining Quality & compliance checks on documents.
5. Appropriate distribution of all controlled documents necessary to meet business and operational requirements.
6. Management of a comprehensive document control database for all controlled documents.
7. Managing the flow of documentation within the organization.
8. Filing and organization of documents and records (both electronic and/or hard copies).
9. Maintenance of a list (register) of applicable documents.
10. Supporting procedures by maintaining transparent, up-to-date, accurate, and easily traceable documents.
11. Ensuring timely and easy access to documentation by authorized parties and aiding the retrieval of documents for authorized parties.
12. Maintaining confidentiality around sensitive information and terms of the agreement.
13. Progress reporting on the document status / maintaining KPIs (Key Performance Indicators)
14. Monitoring & Updating Aircraft On-Board Library.
15. Monitoring & updating Central Library & departmental Libraries.
16. Writing and dispatching correspondence within the company and with the regulatory authority.
17. External Documentation Acquisition for example documentation from Aircraft Manufacturers, Regulatory bodies.
18. Q-Pulse System administration/ Electronic document and records database administration.
19. Records Management i.e. management of records throughout their whole lifecycle that is controlled, storing, retention, appraisal, archival, and destruction.
20. Taking part in regulatory authority inspections and audits by preparing documentation necessary for the audits.
21. Administrative assistance to the Manager Quality and Monitoring.
22. Performing other duties as requested, directed or assigned by the manager.

Knowledge, Skills, and Attributes
• An honor Bachelor of Science degree from a recognized university
• Relevant working experience of at least 3 years in aviation records management
